Timeline for Making Arrangements
Large Events:
Fall Fling, Homecoming, Preference, Care Week, FNL, etc... (events needing 15 or more Guest Service staff)
4 weeks before event:
One individual needs to come speak with Gayle regarding:
- Date
- Location
- Estimated starting and ending time
- Tentative plans so that the number of staff can be calculated
- Contact person and phone number
2 weeks before event:
Exact type of events being held -- type of music, etc...
- Locations that will be used
- Name and address to send bill to
- Financial information/account number -- talk to Kitty
Small Events:
Movies, individual club dances, performances, etc. (events needing less than 15staff)
2 Weeks before event:
Representative meets with Gayle regarding:
- Event (dance music type, performance w/ chairs, etc.)
- Date
- Time (if not certain -- a good estimate)
- Location (if not certain -- where you hope to have it)
- Will cashiers be needed
- Contact person and phone number
- Address where to send bill
- Financial information/account number -- talk to Kitty
1 Week before event:*
- Exact location
- Exact time
*Two (2) weeks notice is preferred, but we can usually accommodate small events with one (1) week notice
Cancelations:
Please notify us as soon as possible if the event is canceled or the date is changed so that the staff can be alerted. If notification of event cancellation is given less than a week in advance, a fee will be assessed.
